Bid Inbox

Every sub bid. Parsed, CSI-coded, ready to level. In under a minute.

Connect the Gmail account your estimators live in. PreconIntel watches the inbox, parses every bid PDF and spreadsheet, classifies each line to CSI MasterFormat, and surfaces inclusions, exclusions, and alternates — before you even open the email.

What the AI pulls out automatically

Our parsing pipeline handles the formats subs actually send — not just clean templates.

Subcontractor & project

Identifies the sending sub from email domain and signature, matches to your directory, and routes the bid to the right project.

Base amount & alternates

Pulls the base bid amount, add/deduct alternates, unit prices, and allowances as structured rows.

CSI division & subdivision

Classifies each line item to MasterFormat divisions and subdivisions, with a review queue for low-confidence matches.

Inclusions, exclusions, clarifications

Extracts narrative scope as tagged lists so side-by-side comparison shows exactly where subs differ.

Attachments, revisions, diffs

Tracks bid revisions with diff highlighting so you can see what a sub changed between version 1 and version 3.

Nothing auto-commits without your confidence

High-confidence parses post straight to your bid board. Anything below threshold lands in a review queue with the original PDF side by side — you approve, not the model.

How it works

  1. 1

    Connect Gmail

OAuth into the estimating inbox. Read-only scope on the label or thread pattern you pick.

  2. 2

The AI does the data entry

New messages with bid attachments are pulled into PreconIntel, parsed by Gemini 2.5 with Claude fallback, and staged for review.

  3. 3

    Review or auto-accept

High-confidence parses can auto-accept into the bid board. Low-confidence parses land in a queue with the original PDF side by side.

  4. 4

    Compare apples to apples

Normalized scope, matched divisions, and consistent units mean your level sheet is built the moment the last bid lands.

Frequently asked questions

Which bid formats does PreconIntel parse?

PDFs (text and scanned/OCR), Excel and Google Sheets exports, Word documents, and email body text. The parser handles both clean vendor templates and the real-world mixed-format attachments subs actually send.

How accurate is the AI at classifying CSI divisions?

High-confidence matches post straight to your bid board. Anything below threshold lands in a human-review queue with the original PDF side by side — you approve before anything commits. The system tracks its own confidence over time per trade, so accuracy improves the more bids you process.

Does connecting Gmail give PreconIntel access to my whole inbox?

No. You choose a label or thread pattern during setup, and PreconIntel only reads messages matching it. OAuth scope is limited to that filter, and tokens are encrypted at rest with a separate key before storage.

What happens to revised bids?

When a sub sends a revised bid, PreconIntel detects it, links it to the original, and highlights the diff — base amount changes, line item additions, scope updates — so you see exactly what changed between version 1 and version 3.

How is this different from SmartBidNet or BuildingConnected?

SmartBidNet and BuildingConnected are invitation-and-portal tools built for project managers. PreconIntel's Bid Inbox is purpose-built for the estimator receiving bids — it does the data entry, classification, and leveling that those tools leave to you.

Can I use the Bid Inbox without Gmail?

Yes. You can upload bid documents manually, forward from any email system, or drop files via API. Gmail is the fastest setup but not a requirement.
